A debt follow-up letter to a late payer, in one prompt

One prompt, start to finish. Watch a difficult message you have been putting off get written in seconds.

A firm but polite payment reminder being drafted by an AI assistant

Chasing money is the message everyone puts off. You do not want to sound rude to a customer you might keep, but you also need to be paid. So the reminder sits unwritten, and the debt gets older.

This is a perfect stage 1 job - using AI as a fast assistant. One prompt, and the letter you have been avoiding is done.

The prompt#

Write a firm but professional payment-reminder letter to a customer.

Details:
- Customer: [name]
- Invoice: [number], for KES [amount]
- It was due on [date] and is now [number] days overdue
- This is my [first / second] reminder

Tone: polite and respectful, but clear that payment is now expected. I want
to keep this customer, so no threats - just a firm, easy request to settle,
with a way for them to reply if there is a problem. End by asking for a
payment date.

Fill the brackets, send the prompt, and you have a clean draft in seconds.

Why it comes out well#

Three things in that prompt do the work. The facts are yours, so nothing is invented. The tone is stated exactly - firm but not hostile - which is the hard part to get right when you are the one who is owed money. And the goal is explicit: get a payment date, keep the relationship.

The real win#

The point is not that the AI writes a better letter than you could. It is that it writes it now, instead of next week - and a reminder that goes out today gets paid sooner than one you keep meaning to write. Removing the friction is the whole value.

This is stage 1: a fast assistant handling a small, language-shaped job while you stay in control. For the full ladder, see the five stages of AI adoption.
